1. What data we collect

When you interact with ChatlanAI via WhatsApp, we collect:

  • Phone numbers — your WhatsApp phone number, used to identify your session and route replies back to you.
  • Messages — the text of every message you send and every reply you receive from the assistant.
  • Property information — details about the property you are staying at (Wi-Fi, house rules, check-in instructions, etc.), provided by the property host.

2. How we use your data

Your data is used solely to provide the ChatlanAI guest assistant service:

  • To identify which property you are staying at and load the relevant information.
  • To generate AI-powered responses to your questions about the property.
  • To allow the property host to review the conversation history for their own property.
  • To detect and prevent spam or abuse of the service.

We do not use your data for advertising, profiling, or any purpose unrelated to providing the guest assistant service.

3. How we store your data

All data is stored in an encrypted, access-controlled database hosted on a secure cloud provider. Access to the database is restricted to authorised system processes and the property host for their own property only. No host can access data belonging to a different property.

4. Who we share your data with

We do not sell or share your personal data with third parties, except as strictly necessary to deliver the service:

  • Anthropic — your messages are sent to Anthropic's Claude API to generate responses. Anthropic's privacy policy governs their handling of this data.
  • Meta (WhatsApp) — messages are delivered via the WhatsApp Business API. Meta's privacy policy governs their handling of this data.

No other third parties receive your data.

5. Data retention

Message history is retained for 12 months from the date of the conversation. After that period, messages are deleted. Phone number to property mappings (guest sessions) expire after a period of inactivity and are removed automatically.

You have the right to:

  • Request a copy of the data we hold about you.
  • Request deletion of your data.
  • Object to the processing of your data.
